The organization of congresses and business events often begins with optimism—the opening of registrations and a simple online form. However, reality quickly catches up with the plans: emails pile up, participants encounter obstacles, and administration turns into daily "firefighting." It was from these specific practical challenges that Conwayo, was born, a new digital product from the PCO agency Penta that brings a different approach to registration: through conversation.

Conwayo is a solution that enables event registration via WhatsApp, without the need to install additional apps or navigate classic, often complex forms. On the event website, the participant chooses whether they want to register via a standard form or start a chat. Once the chat begins, the AI-driven system guides them through the entire process, from data entry to payment.

When technology fails to meet real participant needs

Penta points out that during their years of organizing congresses, they noticed a recurring pattern: existing registration tools do not align with how people function today. Participants don't think in terms of "fields" and "forms"; they think in terms of simple needs - they want to register quickly, request an invoice, or register multiple people at once.

"One moment that stuck with us was when a doctor, in a rush between examinations, sent a short message: 'Please register me for the congress, I don't have time to fill out all the data on the web.' It was actually quite logical. In everyday life, we handle more and more things via messages and mobile phones - from arrangements to bookings. Why should congress registration be any different? Conwayo was created precisely from that question," representatives from Penta state.

Although most registrations today take place online, the way participants access that process has changed significantly. More than 60 percent of congress website visitors arrive via mobile devices, yet only a small fraction successfully completes the registration. A large number of potential participants drop out somewhere along the way, without feedback and without a clear reason.

For event organizers, this doesn't just mean lower conversion rates, but a concrete loss of participants, revenue, and the overall reach of the event. This problem long remained under the radar, partly because there was no solution that fit actual user habits, and partly because the focus of organizers and agencies was primarily on content and operational execution.

This is exactly where Conwayo finds its role. Instead of further complicating the process, it changes the approach from the ground up - turning registration into communication that is already familiar and intuitive to users.
